Position Summary
The role of Operations Specialist at Clearwater Capital Partners is a dynamic role that provides operational business support to the firm’s financial advisors and clients.
Position responsibilities include, but are not limited to, the following:
Duties and Responsibilities
- Execute end-to-end client onboarding, including timely account setup, accurate document completion, and coordination with custodians.
- Prepare, review, and process account opening documentation in accordance with firm and custodian requirements.
- Maintain and link client accounts within the firm’s CRM and wealth planning systems, ensuring accuracy and completeness of all records.
- Perform ongoing account maintenance, including client profile updates (name, address, beneficiary, trustee changes), security updates, and report generation.
- Support and process client transactions such as cash movements, wire transfers, check deposits, and other account-related requests.
- Open, maintain, and service pledged asset accounts in coordination with custodians.
- Proactively monitor and resolve asset transfer issues, ensuring timely completion of ACAT and non-ACAT transfers.
- Build and maintain strong client relationships by responding to inquiries, resolving issues efficiently, and delivering a high level of service.
- Serve as a key point of contact for clients, custodians, and third-party vendors on operational matters.
- Collaborate cross-functionally with Portfolio Management, Financial Advisors, and Institutional teams to support seamless operations and an exceptional client experience.
CRM and Process Management
- Own and administer the firm’s CRM system, ensuring data accuracy, integrity, and consistency.
- Maintain timely and accurate data entry across all client records and workflows.
- Lead ongoing CRM enhancements, including developing new workflows, improving processes, and troubleshooting system issues.
- Establish and enforce CRM data standards and best practices to support reporting, segmentation, and operational efficiency.
Compliance Support
- Partner with the Chief Compliance Officer (CCO) and Compliance Manager to ensure adherence to regulatory requirements.
- Archive client documentation electronically in accordance with record retention policies.
- Prepare system reports and documentation for periodic compliance reviews and audits.
- Ensure all client records, communications, and operational activities align with firm policies and compliance standards.
Requirements
- Bachelor’s degree.
- At least 2 years of industry related experience (prior direct-client service experience preferred).
- At least 2 years of custodial experience (preferably Charles Schwab).
- At least 2 years of experience using a CRM (preferably Tamarac)
- Proficiency in Microsoft Excel, and other Microsoft Suite applications.
- Excellent communication and interpersonal skills.
- Ability to collaborate with a team and work independently.
- Strong problem solving and decision-making ability.
- Ability to manage multiple tasks and priorities simultaneously.
- Satisfactory verification of citizenship or immigration status, successful background screening, credit check, and drug testing.
